Group Training Cancellation Policy

GROUP TRAINING CANCELLATION POLICY

This Group Training Cancellation Policy applies to all group training bookings purchased through ARM YOUR FRIENDS ("AYF," "we," "us"). By purchasing a group training booking, you agree to the following terms. These terms govern headcount reductions, cancellations, and refunds for group training specifically, and they control over any general statement elsewhere on this site where the two conflict.

1. Minimum Headcount Is Non-Refundable

1.1 Every group training booking is built around a minimum headcount of ten (10) students. Payment for the first ten (10) students in any group booking is final and non-refundable under all circumstances, including reduced attendance, no shows, weather concerns, scheduling conflicts, or a change of mind.

1.2 Ammunition, targets, range time, and instructor and safety officer staffing are ordered and confirmed against your full paid headcount well in advance of class day, which is why the ten (10) student minimum is treated as committed revenue rather than a deposit.

2. Reducing Headcount Above the Minimum

2.1 If you paid for more than ten (10) students, you may request a refund for the seats above the minimum, down to but never below ten (10) students, provided we receive your written request at contact@armyourfriends.com at least seventy two (72) hours before the scheduled class start time.

2.2 Example, if you paid for fifteen (15) students, you may reduce your headcount and receive a refund for up to five (5) students, so long as the request is made at least 72 hours in advance. You may not reduce below the ten (10) student minimum described in Section 1.

2.3 Headcount reduction requests received less than 72 hours before the scheduled class start time will be denied in full under Section 3.

3. No Refunds Inside 72 Hours

3.1 No refunds of any kind, for any number of students, will be issued once we are inside seventy two (72) hours of the scheduled class start time. At that point AYF has already purchased ammunition and supplies and finalized staffing against your confirmed headcount, and those costs are incurred whether or not your full group attends.

3.2 This 72 hour cutoff applies regardless of the reason for the request, including illness, work conflicts, weather concerns, or any other circumstance, and we are not able to make exceptions.

4. No Shows and Late Arrivals

4.1 Any paid student who does not attend class, and who was not properly removed from the headcount under Section 2, is treated as a no show, and that seat is forfeited in full, with no refund, reschedule, or credit.

4.2 Students must arrive by the published class start time. AYF may, at its sole discretion, treat a student arriving more than fifteen (15) minutes after the published start time as a no show, because safety briefings cannot be repeated for late arrivals.

5. Rescheduling

5.1 Group training bookings are not eligible for rescheduling by the purchaser. A group booking reserves range time, instructors, safety officers, and supplies for your entire group on one specific date, and we are not able to move a confirmed group booking to a different date.

5.2 AYF reserves the right, at its sole discretion, to reschedule or cancel a scheduled group class due to weather, range availability, safety concerns, or other unforeseen circumstances. If AYF cancels or reschedules a class for these reasons, your group will be offered a new date or a full refund, at AYF's discretion.

6. Refund Method and Timing

6.1 Any approved refund is issued to the original payment method used at checkout only.

6.2 Approved refunds are processed within ten (10) business days of approval. Your bank or card issuer may take additional time to post the refund.

7. Relationship to Our Other Policies

7.1 This policy governs group training bookings specifically and should be read together with our general Group Training Policy and our general Cancellation Policy. Where this policy conflicts with either of those policies as applied to group training, this policy controls.
