Cancellation policy
This Subscription & Cancellation Policy ("Policy") governs all recurring memberships sold by Arm Your Friends LLC ("AYF," "we," "us"), including The Collective and The Social Club (each a "Membership"). By purchasing a Membership, you agree to this Policy in full.
1. Billing and Auto-Renewal
1.1 Memberships are billed monthly on the calendar day you first subscribed (the "Renewal Date"). If your Renewal Date does not exist in a given month (e.g., the 31st in February), you will be billed on the last day of that month.
1.2 By purchasing a Membership, you authorize AYF and our payment processor to charge your payment method on file on each Renewal Date, at the published price in effect at that time, until you cancel in accordance with this Policy.
1.3 Memberships renew automatically. No additional notice is required from us before each charge. You are responsible for keeping your payment method current.
1.4 AYF reserves the right to change Membership prices on thirty (30) days' written notice by email to the address on file. Continued use of the Membership after the price change takes effect constitutes acceptance.
2. Cancellation
2.1 You may cancel your Membership at any time by emailing contact@armyourfriends.com from the email address on your account, with the subject line "Cancel Membership."
2.2 To avoid the next charge, your cancellation request must be received by AYF at least seven (7) days before your next Renewal Date. Cancellation requests received within the seven-day window will take effect on the following Renewal Date — you will be billed one additional month and your Membership benefits will continue through that month.
2.3 Cancellations are confirmed by reply email from AYF. A cancellation is not effective until you receive a written confirmation from us. Telephone, social media, and in-person cancellations are not accepted.
2.4 We do not offer pro-rated refunds for partial billing periods. When you cancel, your access continues through the end of the period you have already paid for; you will not be charged again after that.
3. No Refunds; No Rollover
3.1 All Membership fees are non-refundable, including but not limited to fees charged in the seven-day pre-renewal window described in Section 2.2.
3.2 Unused Membership benefits — including monthly range days, included range fees, included supplies, and merchandise discounts — do not roll over to subsequent months and are forfeited if not used in the month they are issued.
3.3 If you do not attend an included range day, no replacement session, credit, or refund is issued.
4. Pausing and Holds
4.1 Members may request a medical or military hold of up to ninety (90) consecutive days by emailing AYF with documentation. Approval is at AYF's sole discretion. During an approved hold, billing is suspended and benefits are paused. Holds do not extend the cancellation notice period in Section 2.2.
4.2 Holds for any other reason are not available.
5. Termination by AYF
5.1 AYF reserves the right to terminate any Membership at any time, with or without cause, by written notice. If we terminate without cause, we will refund the unused portion of the current billing month, prorated to the day of termination.
5.2 AYF will terminate a Membership immediately and without any refund in the following cases: violation of range safety rules; threatening, harassing, or discriminatory conduct toward staff, instructors, or other members; misrepresentation on intake forms; failure of a background check; or any conduct that, in AYF's sole judgment, creates a risk to the safety of others.
6. Chargebacks
6.1 You agree to contact AYF first at contact@armyourfriends.com to resolve any billing dispute before initiating a chargeback with your bank or card issuer.
6.2 Filing a chargeback without first contacting AYF is a breach of this Policy. In addition to any other remedies, we may:
(a) refer the disputed amount to a collections agency;
(b) permanently ban you from all AYF Memberships, classes, range days, and events;
(c) recover the chargeback amount, the bank's chargeback fee, and our reasonable costs of collection (including attorney's fees) from you.
6.3 You acknowledge that this Policy, your checkout-page acknowledgment, your email confirmation, and our records of your access to Membership benefits constitute sufficient evidence of the validity of each charge and may be submitted to your bank, card issuer, or card network in response to a chargeback.
7. Disputes
7.1 Any dispute arising out of or relating to a Membership is governed by the laws of the State of Texas, without regard to conflict-of-laws principles.
7.2 You and AYF agree that any dispute will be resolved exclusively by binding individual arbitration under the Commercial Arbitration Rules of the American Arbitration Association, seated in Harris County, Texas. Each party bears its own arbitration costs except as the arbitrator may award. You waive any right to a jury trial or to participate in a class action.
7.3 Either party may bring an individual action in small-claims court in Harris County, Texas, in lieu of arbitration, for any claim within the court's jurisdictional limits.
8. Changes
AYF may update this Policy from time to time. Material changes will be communicated by email to active Members at least thirty (30) days before they take effect. Continued use of the Membership after the effective date constitutes acceptance of the updated Policy.
